Organise a meeting
Once we know the outcome of the Bid, the Bid Manager should organise a debrief meeting. All persons involved in the Bid should be invited to attend. Those who are unable to do so should be encouraged to make their views known in writing.
The Agenda
The meeting should focus on the principal reasons for the company’s winning or losing the Bid (or failing to submit), and on the lessons that can be learned. Standard agenda items should include: (i) what went well?; (ii) what went badly?, and (iii) what would we do differently?. The meeting should also address the Manage a Bid Core Process – what could be improved?
The Report
During the meeting the Bid Manager should prepare a Win/Loss Report recording the known reasons for the company winning or losing the Bid. The meeting should discuss and agree the lessons that have been learned – what can we build on in future, and what must we do better? These conclusions (including dissenting views) should also be recorded in the Win/Loss Report.
Those attending should also be encouraged to provide Feedback on The Guidepost via its Feedback facility.
Circulate and File the Win/Loss Report
The agreed Win/Loss Report should be circulated to the Opportunity Manager, the Bid Executive and appropriate senior Directors. It should also be filed in the Bid File and the Company Knowledge Base.
