Workpackage Status Report (WSR)

Preparation

A Workpackage Status Report (WSR) is prepared, usually on a regular basis, by a Team Manager or Workpackage Manager. For every Workpackage in a Phase or Stage, a WSR is prepared to consolidate the most recent Activity Status Reports (ASR) that are available. This will be

  • the final ASR for an Activity that has been closed
  • for every Activity that is currently open, a newly-prepared ASR, which a Team Manager or Workpackage Manager will receive from the members of his/her Team
  • an intial ASR for any Activity that has yet to be started.

Contents

The contents of a WSR will depend on the detail of the Plan for the Workpackage. This detail will be found in the Workpackage Record with which the Workpackage was delegated.

A WSR will provide a statement for each Activity or item listed in the Workpackage Record of:

  • its summary status (usually reported as Red, Amber or Green, with appropriate comments)
  • a forecast for its date of completion (versus Plan)
  • a forecast of the effort needed to complete the Activity, together with the effort spent to date and the total effort provided by the Plan.

Supplementary information (on Quality, Risks, Issues and deviations from Tolerances may be included as required, with the comments on the summary status of each Activity.

Reporting structure

It is common practice for the structure of a Project's status reports to reflect its Work Breakdown and the delegation of work. So, typically there will be a Workpackage Status Report for each Workpackage in a Phase Plan or Stage Plan, grouped together by Phase/Stage.

Format and use of the report

A WSR may be a simple verbal report, it could be provided in writing as an email, or submitted in tabular form (see Template below), and this is the practice recommended in The Guidepost B&P. WSRs will be consolidated for a Project's Manager into the Phase Status Report or Stage Status Report for its parent Phase or Stage. This will be the next step in the assembly of a Project Status Report or Highlight Report.

    • an Excel form called "Workpackage Status Table", whose layout is compatible with that of an Activity Status Report. This Product Template supports the use of cut and paste, to simplify the upwards consolidation of Status Reports
