Preparation

An Activity Status Report (ASR) is prepared, usually on a regular basis, by each member of a Team to whom a Team Manager has delegated responsibility for an Activity (an Activity Manager). For complete status reporting, Project Support will need a full set of the most recent Activity Status Reports (ASR) that are available. The set will include

  • the final ASR for each Activity that has been closed (no further preparation needed)
  • for every Activity that is currently open, a newly-prepared ASR, which a Team Manager or Workpackage Manager will receive from the members of his/her Team
  • an intial ASR for any Activity that has yet to be started (no preparation needed).

Contents

The contents of an ASR will depend on the detail of the plan for the Activity. This detail will be found in the Activity Record with which the Activity was delegated. The ASR will provide a statement for each step or item listed in the Activity Record of:

  • its summary status (usually reported as Red, Amber or Green, with appropriate comments)
  • a forecast for its date of completion (versus Plan)
  • a forecast of the effort needed to complete the step or item, together with the effort spent to date and the total effort provided by the plan.

Supplementary information (on Quality, Risks, Issues and deviations from Tolerances, etc.), may be included as required with the comments on the summary status of each Activity.

Format and use of the report

An ASR may be a simple verbal report, it could be provided in writing as an email, or submitted in tabular form (see Template below). Each ASR will be consolidated by the Team Manager into his/her regular Workpackage Status Report or Checkpoint Report. This will be the next step in the assembly of a Project Status Report or a Highlight Report.

The following Product Templates are available:

  • for all Bids and Projects:
    • an Excel form called "Activity Status Report", which has a layout compatible with the Product Templates for Workpackage Status Table and Checkpoint Status Table. This supports the use of copy and paste to simplify the upwards consolidation of Status Reports.
