Project Status Report

Preparation

A formal Report to the Board on the status of a Bid or a non-PRINCE2™ Project. It is prepared, usually on a regular basis, by Project Support for the Project Manager. It is assembled by consolidating the Team Reports prepared by Team Leaders. It is the equivalent of a PRINCE2™ Highlight Report.

Detailed information about the Project's Status is also produced by consolidating the summary rows of:

  • 1. Activity Status Reports into Workpackage Status Tables
  • 2. Workpackage Status Tables into Phase Status Reports, and
  • 3. Phase Status Reports into a Project Status Table.

Contents

It will have two parts:

  • a summary of the overall status and prospects for a Bid or a Project. This summary must include a review of the continuing validity of the Business Case for the Bid or Project
  • a report on the status of each of the Phase(s) of the Project (see Phase Status Report). A Phase will be:
    • completed and closed
    • currently open
    • yet to be started.

For Phases that have yet to be started the information provided will be limited to what is available in the appropriate Phase Plan.

For completeness, a Financial Status Report should be attached as an Appendix.

Non-routine reporting

A Project Manager is also required to report on particular non-routine situations, and for these the appropriate Reports are:

Sources of Information

Much of the information that goes into a Project Status Report will come from the Team Reports submitted by the Team Leaders. However these will be augmented by information from a number of other sources, including the Risk, Issues, Quality and Configuration Folders, the Daily Log; the Project Control Folders and the other Project Files.

The following Product Templates are available:

  • for non-PRINCE2™ Projects only:
    • a Word skeleton document called "Project Status Report", which provides a framework for the consolidation into a Project Status Table of the supporting Phase Status Tables, Workpackage Status Tables, Activity Status Reports and Financial Status Report
  • for all Projects:
    • an Excel form called "Project Status Table", whose layout supports consolidation of the Phase Status Tables, Workpackage Status Tables, and Activity Status Reports, by copy and paste of their (grey) summary rows.
