For Project Teams

The formal document provided to each member of a Project Management Team defining the role he/she is to take, and the authority (e.g. Tolerances) and responsibilities he/she will exercise. Each member of the Team will have a copy of his/her Job Description signed by the Project Executive, for senior members of the Team, or by the Project Manager for the more junior members (e.g.Team Managers). Each Job Description should be countersigned by the recipient, to mark acceptance of the role.

Every Job Description will include a diagram of the Project’s management structure showing clearly the reporting lines. Although the individual members of the Project Management team will have signed copies of their own Job Descriptions, from early in the Project the master versions of all the Job Descriptions will be held in the Project Files, and definitive copies will be included in the PID.

For Bid Teams

Since a Bid is a managed as a Project, a Job Description should also be provided to every Bid Executive and Bid Manager. For a Bid, the Bid Executive's Job Desccription (which also acts as the Project Mandate), will be issued by the person taking the Bid / No-bid Decision (usually the Operations Director or the Sales Director). The Bid Manager's Job Description will be issued by the Bid Executive. In the case of large Bid, the Bid Manager may provide Job Descriptions to the members of the Bid Team.

As for a Project the reporting lines should be described, including the relationship between the Initiative Manager or the Salesperson, and the Bid Manager.
